The Part-Time Technical Office Assistant is responsible for insuring that technical and administrative functions related to advisement and career services provided to students are operational and managed effectively.

  • Manages and monitors logistical and technical aspects of department services to include the flow of student. Advises manager of critical issues related to department services
  • Researches, develops and recommends ways to incorporate and enhance the use of technology into daily departmental operations. (i.e. student intake, phone calls, etc.)
  • Supervises student assistants and assures initial student intake for advisement and career services is provided in an efficient and effective manner.
  • Troubleshoots and assists students with problems or questions about MDC web applications and Internet resources for student information, MyMDC Account management and other applications (ex: FACTS.org, Choices, virtual open houses, etc.).
  • Develops and produces computer generated reports and graphics for departmental use and student distribution; create duplicate and distribute pertinent department materials.
  • Develops and produces computer-generated documents for instructional staff (Intervention Specialist) to use when teaching and for Advisors to use when making presentations.
  • Utilizes technical skills and software (ex: Excel, Access, PowerPoint, Publisher Basics, Adobe Photo Shop) and other applications to meet emerging needs.
  • Responds to electronic, telephone and in person inquires; provide general and specific information to students, faculty, and staff.
  • Assists students and the public by interpretation and explanation of complex college policy, procedures, state rules and statues.
  • Provides support services for advisement and career service staff by assisting students with basic information, understanding placement test scores, course offerings per term, course descriptions and other academic information.
  • Works with various Student Services and Academic Departments to facilitate the advisement process for students to enroll for courses.
  • Meets with students, customers, or co-workers referred from subordinate/superiors (and other areas) who are experiencing problems or need to express complaints; work towards problem solving and customer satisfaction/understanding in a professional, friendly manner.
  • Provides general information and answer calls/questions regarding programs and course offerings, and refer students to appropriate departments.
  • Composes correspondence in response to routine inquires within established guideline
  • Performs other duties as assigned.

    Skills / Requirements

  • Associates Degree and two (2) years of clerical/technical experience
  • Skill in a variety of computer applications, specifically those related to Microsoft Office software applications, spreadsheets and database management, competency in using word processing, spreadsheet programs and other office applications and a willingness to learn new software as needed
  • Ability to manage multiple tasks, set priorities, establish and meet deadlines,
  • Possess strong organizational skills and excellent communication skills (verbal and written)
  • Ability to speak effectively with customers or employees of the organization
  • Ability to maintain effective interpersonal relations with students, faculty and administration
  • Ability to work independently with limited supervision
  • Ability to work in a multi-cultural/multi-ethnic environment
  • Ability to work a flexible schedule that may include evening and weekend assignments
