The Assistant performs advanced and complex clerical work involving administrative responsibilities

  • Answers phone lines and gives information regarding classes and upcoming events
  • Provides support and coverage for Prometeo theatrical events
  • Receives and maintains an inventory of office supplies
  • Prepares forms that include Plant Maintenance Requests Duplicating Forms and Campus Services Work Request
  • Types memorandums and reports for the department
  • Assists in translating documents from English to Spanish
  • Keeps records and archives media related to Prometeo Theatre
  • Keeps schedule and calendar for the Director
  • Receives and redirects incoming and outgoing correspondence
  • Handles room requests for classes
  • Handles advance ticket sales and at the Box Office prior to all Prometeo and International Hispanic Theatre Festival shows
  • Maintains data base for all classes, workshops, productions and tours
  • Registers students; receives and deposits payments for all courses
  • Prepares Time and Attendance for instructors, as well as, supervises part time interns and student assistants
  • Performs other duties as assigned

    Skills / Requirements

  • Associates Degree and two (2) years of experience in responsible related clerical work including supervisory experience, or equivalent combination of experience and education
  • All educational degrees must be from a regionally accredited institution
  • Ability to communicate effectively in both English and Spanish ( Written and Oral )
  • Ability to handle multiple tasks and prioritize assigned duties
  • Proficiency in Microsoft Office Applications
  • Knowledge of or ability to learn Odyssey and Policies and Procedures of the College
  • Ability to work a flexible schedule to provide coverage for special events such as Miami Book Fair International and the International Hispanic Theatre Festival
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff
  • Ability to work a flexible schedule that may include evening and weekend assignments
